GUIDELINES:
Because the Museum offers a special environment for your event,
certain guidelines must be followed to ensure the safety and security
of the art. Subject below itemizes the restrictions. All parties
must adhere to these written instructions, as well as any oral
instructions during the event, as issued by museum security and
special events staff.
- Alcoholic beverages are permitted
in the Museum. The Bristol Catering is the exclusive liquor
service for all rental events in the Museum. Guests may not
bring alcohol into the Museum or take alcohol out of the Museum.
Museum Security reserves the right to end alcoholic beverage
service 30-45 minutes prior to the event closing time.
- The Bristol Catering, (502)
584-3663, is the exclusive caterer for all wedding receptions
and functions at the Museum.
- Weddings, wedding receptions
and bar/bat mitzvahs are permitted at the Museum during closed
hours only.
- Background music, music for
dancing and pre-set lights are subject to Museum approval and
must be confirmed with the Museum representative prior to signing
the Museum contract. Generally, additional lights are not permitted
in the Museum. Due to space limitations, musical groups are
limited to a maximum of eight people. The Manager of Special
Events must review contracts with musicians before you sign
a contract.
- Only tabletop decorations
may be used. All decorations must be small, simple, and in keeping
with the museum's atmosphere, as determined by the museum. No
nails, tacks, screws or other fasteners, tape or other adhesives
may be used. No decorations, such as balloons, will be allowed
which threaten the safety of any work of art. Only fresh-cut
flowers are allowed in the Museum; live plants or trees may
not enter the gallery space. No confetti or loose glitter may
be used in decorating any area of the Museum. No bubbles are
permitted inside the Museum.
- Use of candles is greatly
restricted at the museum. Votive candles only may be used on
dining and buffet tables. Tapered candles may not be used anywhere.
- Smoking is not permitted in
the Museum.
- All Deliveries must be scheduled
in advance with the Manager of Special Events and coordinated
with museum security. All deliveries shall be made at the rear
loading dock unless otherwise directed. All exits and stairwells
must be kept clear at all times as per fire codes. Items must
be carried and not dragged across floors. Sufficient personnel
should be on hand to assure the orderly movement of furniture
and equipment.
- Dancing is permitted only
on the travertine floor of the Sculpture Court as space permits,
in accordance with the layout of the current exhibition.
- Lights may not be turned off
during the course of an event and must be bright enough for
the guards to see all spaces clearly at all times. Gallery lighting
is not adjustable on an event-by-event basis.
- Flash photography, video cameras,
and touching the art are not permitted. The Manager of Special
Events will work with
professional wedding photographers and videographers in advance
regarding appropriate sites for photos.
- Museum staff places all objects
added to the art space. No art objects may be moved. All non-museum
event-related personnel must be aware of the artwork around
them at all times. No equipment or supplies should be placed
at any time, near a work of art, and a safe distance (four feet)
must be maintained. Placement of food and drink tables must
be determined at the pre-event walk-through.
- The Lessee's designated event
representative should be present sufficiently in advance of
the event to verify preparations and should be available during
and immediately after the program. It is the job of the museum's
Manager of Special Events or appointed representative to interpret
and enforce these restrictions, and his or her decision in all
matters is final.
